Wholesale Event Fabrics: A Buyer’s Guide for Decorators

Buying fabric for a wedding, corporate function or large celebration is not simply a matter of choosing a colour. For decorators and event planners, fabric affects the mood of the venue, the speed of installation, how the décor looks under lights and cameras, and whether the finished setup stays within budget.

This practical guide explains how to source wholesale event fabrics with fewer surprises—from preparing the brief and selecting materials to checking quality, planning quantities and coordinating dispatch.

1. Start with the venue and design brief

A clear brief helps your supplier recommend the right material and reduces sampling delays. Before requesting a quotation, note:

  • Event type and theme
  • Venue dimensions and installation areas
  • Indoor or outdoor use
  • Required colours, prints and finishes
  • Backdrop, ceiling, stage, table, chair and lounge requirements
  • Quantity, delivery city and installation date
  • Whether the material will be reused

Share photographs, drawings, mood boards and reference swatches wherever possible. Measurements should be confirmed before production, especially for fitted covers, large backdrops and ceiling treatments.

2. Choose fabric according to its function

One fabric rarely suits every part of an event. The correct choice depends on drape, weight, stretch, opacity, texture and the visual effect you want to create.

3. Understand GSM, opacity and drape

GSM means grams per square metre and indicates fabric weight. It is useful, but it should never be the only specification. Two fabrics with similar GSM can behave very differently because of their yarn, weave, stretch and finish.

  • GSM: helps compare weight and approximate handling.
  • Opacity: determines how much light or the supporting structure shows through.
  • Drape: describes how the fabric falls, gathers and forms folds.
  • Stretch: matters for fitted covers, tensioned panels and wrinkle control.

4. Approve a physical or production sample

Screen colours can vary by device, so a digital image alone is not enough for critical shades or finishes. Approve the fabric, print, embroidery, stitching and final size through a suitable sample before bulk production.

For customized work, confirm the artwork scale, colour reference, repeat pattern, seam position, finishing method and acceptable tolerance. Keep one approved sample as the quality benchmark for the order.

5. Calculate quantity with installation in mind

Do not calculate only from visible dimensions. Fabric requirements can increase because of gathers, pleats, hems, overlaps, seams, pattern matching and site wastage. Reusable inventory may also need spare pieces for damage or last-minute layout changes.

A practical order calculation should consider:

  • Finished size of each item
  • Fullness ratio for drapes and skirting
  • Usable fabric width
  • Print or motif repeat
  • Cutting and stitching allowance

6. Create a quality-control checklist

  • Correct size and quantity
  • Stitching, hems, seams, zips and closures
  • Marks, holes, pulls or surface damage
